Payment and Billing Policy

Payment transparency: This policy is intended to be displayed before or at checkout together with the applicable price, VAT, contract term, once-off activation and installation charges and recurring amount.

1. Charges

The amount payable is the amount shown in the accepted quotation, Customer Schedule or checkout confirmation. Charges may include a recurring subscription, the standard R350 once-off activation fee, installation charges, equipment charges where equipment is sold rather than retained by Nalo, and optional services selected by the customer.

2. VAT and advertised prices

Where Nalo is required to charge VAT, public prices and checkout totals will be displayed in the manner required by South African law. The total amount payable, including VAT and any mandatory fee known at the time of purchase, must be disclosed before the customer confirms an online order.

3. Payment methods

Payment may be made by debit order, EFT or another payment method approved by Nalo and recorded in the applicable checkout, quotation or Customer Schedule. Nalo may use a third-party payment service provider. The provider's terms and security controls may apply to payment credentials processed in its environment.

4. Payment security

Nalo will use payment arrangements reasonably appropriate to the transaction and will not knowingly request customers to transmit full card-security codes, online-banking passwords or one-time PINs through ordinary email or support chat. Customers must use only the payment instructions displayed in the authenticated checkout, invoice or other verified Nalo communication.

5. Debit orders

A debit order may be submitted only under a valid customer mandate or other lawful authority. A customer must promptly notify Nalo if bank details change. A customer may dispute an unauthorised debit with its bank and with Nalo. Cancelling or reversing a debit instruction does not itself cancel the underlying service agreement or extinguish a lawful amount already due.

6. Billing cycle

Subscriptions are generally billed per vehicle or asset per month in advance, unless the Customer Schedule states otherwise. The due date appears on the invoice or accepted schedule. Pro-rata billing, deposits, annual escalations or special fleet arrangements apply only where disclosed in the applicable agreement.

7. Failed or late payments

If a payment fails or becomes overdue, Nalo may issue a reminder, re-submit an authorised payment instruction where legally permitted, suspend affected services after any notice required by law or contract, and recover lawful collection costs. Nalo will not use a suspension or collection mechanism to defeat mandatory consumer rights.

8. Price or subscription changes

Price changes during an existing fixed term are governed by the signed agreement and applicable consumer law. Changes on renewal or month-to-month continuation must be disclosed with the notice required by law or contract. A longer-term discounted price should not be represented as a financial benefit unless the benefit can be demonstrated.

9. Refunds and reversals

Refunds, duplicate payments, cooling-off rights and cancellation credits are governed by the Refund, Cancellation and Returns Policy.

10. Records

Nalo will provide or make available an order confirmation, invoice, statement or other transaction record appropriate to the payment. Customers should retain these records. Electronic records may be stored and reproduced in accordance with the applicable agreement and ECTA.

11. Fraud prevention

Nalo may reasonably verify identity, account ownership, payment source or transaction details before activating a service or issuing a refund. Verification must be proportionate and personal information will be processed under the Privacy Policy.

12. Contact

Billing queries should be sent to support@nalonode.com. Payment-card or bank-account compromises should also be reported immediately to the relevant bank or payment provider.

Website checkout details — 28 September 2026

The current website checkout uses Paystack. Where shown in your order, the amount payable now includes the once-off activation fee and one month upfront. The standard activation fee is R350 per selected hardware unit unless the offer states otherwise. The first month starts at service activation. A once-off payment does not authorise recurring charges; recurring billing requires separate authorisation and setup. Your dashboard shows your order, billing status and available invoice downloads. An invoice still being prepared is shown as pending.

This document must be read with any signed Subscriber Agreement, Customer Schedule or Business Fleet Schedule. Where applicable law gives a person greater protection than this document, the law prevails.
